Job Purpose

As an Admin Apprentice, you will provide administrative support to our claims handlers to ensure that they are able to give the best possible service while also studying towards a diploma in Digital Application Support (SCQF Level 6).

Full training and supervision will be provided to facilitate and support the successful candidate. We encourage promotion and progression within the business offering a genuine career path for the right candidate.

Key Responsibilities

  • Importing post
  • Copying
  • Indexing and pagination of documents of bundles
  • Requesting disbursements
  • Providing general administrative support
  • Proactively manage diaries and diarise actions
  • Generating standard system driven letters
  • Composing letters to clients/customers
  • Making and receiving telephone calls from client and third parties
  • Maintain pro-active communication with clients and external agencies relating to claims
  • Observing and maintaining firm confidentiality in relation to all correspondence and communications
  • Book client and internal meetings
  • Manage the case management system
  • Open close and transfer files
  • Set up new clients on the system
  • File, archive, photocopy, scan documents as and when required
  • Ensure that client contact information is kept up to date
  • Liaise with Counsel and other legal representatives
  • Proactively assist with ad-hoc business development and communications activities e.g. client contact reports, delegate packs etc.
  • Handle confidential information in line with the firm’s data security protocols
  • Minute internal meetings

Experience & Knowledge

  • Five GCSEs at grade C (or 4) or above, including English and Mathematics (or equivalent)
  • High level of accuracy and attention to detail
  • Enthusiastic and positive attitude with a general willingness to learn
  • Strong written and verbal skills
  • Good literacy and numeracy skills
  • Basic knowledge of MS Word and Excel
  • Strong organisational and administrative skills
  • Customer focussed and understanding the importance of excellent client care
  • Ability to work to deadlines
  • An ability to work using own initiative within boundaries, as well as in a team, to achieve maximum results
