Sales Administrator
Location: Hillington, Glasgow
Salary: £25,000 (dependent on experience)
We’re looking for a proactive and detail-driven Sales Administrator to support two of our senior sales managers and help keep our sales engine running smoothly. If you’re organised, resourceful, and great at juggling priorities, this could be the perfect role for you.
What you’ll be doing:
This is a broad outline of the role - not everything will happen at once, and we’ll work with you to agree clear priorities and responsibilities once you’re in post
- Acting as the right hand to two senior sales managers; managing diaries, scheduling calls, and keeping daily admin on track
- Preparing basic proposal templates based on notes from sales consultation calls
- Creating order forms and calculating shipping costs when deals close
- Managing day-to-day communication with clients who have active deals, ensuring they’re informed on timelines, next steps, and delivery expectations
- Deputising for the sales managers during holidays or absence, including inbox monitoring and sourcing internal support when needed
- Working with our sales validator to gather lead details that help sales managers hit the ground running in new consultations
- Keeping our CRM (e.g. HubSpot) updated with accurate deal, contact, and activity data to support pipeline visibility
- Assisting with the preparation of weekly or monthly sales reports and team KPIs
- Organising and managing proposal files, signed documents, and key sales materials
- Coordinating internally with our production, creative, and logistics teams to ensure smooth handover once a deal is closed
- Supporting client onboarding and welcome comms after deal closure
- Scheduling follow-ups for prospects still in progress and ensuring no opportunity is missed
- Contributing to process improvements by identifying areas where admin or communication workflows could be streamlined
What we’re looking for:
- Highly organised with exceptional attention to detail
- Confident communicator, written and verbal, with a professional tone
- Proficient in using CRM systems and productivity tools a benefit (e.g. Google Workspace, HubSpot, Slack)
- Comfortable managing multiple priorities and switching between tasks with ease
- Self-motivated, solutions-focused, and reliable under pressure
- Experience in a sales support, admin, or client-facing role is ideal
This is a dynamic, varied role in a growing team, ideal for someone who thrives in a fast-paced environment and takes pride in making things run like clockwork.
Ready to be a key part of our fast-growing commercial success? Apply now and join a supportive, ambitious team where your skills make a real impact.
