We know this client very well and, having successfully placed some key people in their senior team, we were delighted to be asked to find the ideal candidate for this key role, supporting their CEO and senior management team, as Executive Assistant.
 
This is a senior-level role within a highly successful, entrepreneurial Scottish business, where the successful candidate will be responsible for providing strategic support to the CEO and wider executive team. It demands someone with proven relevant experience who can demonstrate a high degree of discretion, business acumen, and the ability to prioritise in a fast-paced environment.  It's a key, trusted role with an element of travel throughout Scotland, as required from time to time.
 
For the right candidate, the client is willing to be flexible and offer the role on a full-time, or part-time basis, with a f/t base salary ranging from £40,000-£45,000 (depending on your experience), alongside a great benefits package.
 
In this role your responsibilities would include:
  • Handling highly sensitive and confidential information with utmost discretion, ensuring professionalism at all times.
  • Acting as the primary point of contact between the executive and internal/external stakeholders, ensuring seamless communication.
  • Providing high-level support in decision-making processes by preparing reports, analysing data, and offering insights that contribute to the executive’s strategic objectives.
  • Managing and coordinating key projects, ensuring timelines are met and stakeholders are kept informed of progress and developments.
  • Proactively managing complex schedules, including meetings, events, and travel, to optimise the exec team’s time and, supporting with the exec teams holiday management.
  • Preparing meeting agendas, reports, and presentations. Attend meetings as required, take detailed minutes, and follow up on action items.
  • Planning and executing high-profile internal and external events, such as board meetings, conferences, and corporate events with support of the wider teams.
  • Anticipating the needs of the executive and proactively address issues before they arise, offering solutions and strategies for improved efficiency.
  • and, supporting the Glasgow general office for mail and effective management of services to ensure it remains presentable and admin support is available to the wider business.
 
To be successful you'll need to demonstrate some critical skills and experience, including:
  • Significant experience in a senior Executive Assistant or similar strategic support role, ideally working with C-suite executives or senior management.
  • Strong understanding of business operations and strategies, with the ability to contribute to high-level discussions and decisions.
  • Excellent organisational and time-management skills, with the ability to manage multiple priorities.
  • Outstanding written and verbal communication skills, with the ability to draft high-quality correspondence and presentations.
  • Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), project management tools, and the ability to quickly learn new software.
  • The ability to handle sensitive information with integrity and confidentiality.
  • and, the ability to thrive in a fast-paced, ever-changing environment, and take initiative when it comes to solving problems and managing time-sensitive tasks.
