To be successful as an Executive Assistant, you should have experience with:
Excellent Organizational skills: Managing complex calendars, scheduling meetings, and prioritizing tasks, ensuring deadlines are met and priorities are aligned, while keeping track of multiple tasks and details simultaneously with attention to detail
Exceptional Communication Skills and Relationship Management: Clear and professional written and verbal communication, acting as a liaison between the executive and stakeholders, crafting reports, minutes, and actions with tact, building trust and rapport, and balancing accessibility with boundaries
Problem Solving and adaptability: Anticipating needs, proactively addressing challenges, staying calm under pressure, and finding creative solutions in a fast-paced environment
Additional valued skills include:
Relationships and Stakeholders: Building and maintaining strong relationships, reading between the lines, and working with senior stakeholders
Technology: Proficiency with Microsoft Teams, Outlook, Word, Excel, Whiteboard, Co-Pilot, and adopting new technologies
Data: Managing confidentiality and handling sensitive information professionally, safeguarding company data
Proactively supporting the team beyond the role profile to add value
The role may involve assessing skills such as risk and controls, change and transformation, business acumen, strategic thinking, and digital and technological skills
This position is based in our Glasgow or Knutsford office
Purpose of the role
To manage the executive's schedule, handle correspondence, prepare presentations and reports, and provide administrative support
Accountabilities
Managing senior executive calendars and responses to meeting requests
Planning and arranging travel, including flights, accommodation, and ground transportation
Anticipating needs and prioritizing tasks for the executive
Handling administrative tasks such as expenses, filing, office supplies, leave records, and organization management
Facilitating senior executive meetings
Analyst Expectations
Performing activities timely and to high standards, driving continuous improvement
Having in-depth technical knowledge and experience
Understanding principles within their expertise area
Leading or supporting teams, guiding development, and managing resources
Demonstrating leadership behaviors if in a leadership role, or developing technical expertise if an individual contributor
Partnering with other functions and teams, managing risks, and ensuring compliance with policies and regulations
Understanding how their work contributes to organizational objectives
