We are seeking a highly organised and proactive Executive Administrator to provide comprehensive administrative and operational support to senior leaders and wider business functions. This is an excellent opportunity for an experienced administrator who thrives in a fast-paced environment and enjoys managing multiple priorities while maintaining exceptional attention to detail.

Your new role

Based in Glasgow, this hybrid role offers flexibility between office and home working, while providing vital support to ensure the smooth and efficient running of executive and departmental activities.
Key Responsibilities

  • Provide high-level administrative support to senior management and executive teams.
  • Manage diaries, meeting schedules, appointments and travel arrangements.
  • Organise and coordinate internal and external meetings, including preparing agendas, papers and taking minutes.
  • Draft, format and distribute professional correspondence, reports, presentations and other business documents.
  • Act as a key point of contact for internal and external stakeholders.
  • Monitor and manage shared inboxes, responding to enquiries promptly and professionally.
  • Maintain accurate records, filing systems and confidential documentation.
  • Support the planning and delivery of projects, events and business initiatives.
  • Process expenses, purchase orders and invoices where required.
  • Assist in the preparation of reports and management information.
  • Ensure compliance with organisational policies, procedures and data protection requirements.
  • Provide general administrative support across the wider team as required.


What you'll need to succeed
Skills & Experience

  • Proven experience in an Executive Administrator, Executive Assistant, Senior Administrator or similar role.
  • Excellent organisational and time management skills with the ability to prioritise a busy workload.
  • Strong written and verbal communication skills.
  • High level of proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint and Teams.
  • Experience managing complex diaries and coordinating multiple stakeholders.
  • Ability to work independently whilst maintaining strong collaborative relationships.
  • Professional, discreet and trustworthy when handling confidential information.
  • Strong attention to detail and commitment to delivering high-quality work.
