Due to continued business growth and expansion, Auction House Scotland is recruiting an experienced Sales & Operations Manager to lead our valuers and sales negotiators, overseeing property sales for both private and corporate sellers.
This is a senior, hands-on role with responsibility for team management, valuations, instructions, property stock, auction delivery and sales progression. Working directly with the Managing Director, you will strengthen our sales operation and support the next stage of the business’s growth.
We need someone with proven experience who can take ownership, manage competing priorities and deliver results through a team. You must be comfortable balancing individual sellers’ needs with the reporting requirements, approval processes and deadlines of corporate clients.
Key responsibilities
Team leadership
- Lead, motivate and develop our valuers and sales negotiators.
- Set clear individual and team objectives, priorities and sales targets.
- Hold regular team meetings, one-to-ones and coaching sessions.
- Allocate workloads effectively across private and corporate instructions.
- Support recruitment, onboarding and ongoing staff development.
Private and corporate seller management
- Oversee client relationships from initial enquiry through to settlement.
- Ensure private sellers receive clear advice, realistic expectations and regular updates.
- Manage corporate accounts in line with agreed service levels, reporting requirements and approval procedures.
- Provide individual property updates and consolidated portfolio reports.
- Ensure pricing, reserves, offers and changes to sale strategy have the appropriate client approval.
- Build relationships that generate repeat business and referrals.
Valuations and instructions
- Oversee valuation appointments, follow-up and conversion into instructions.
- Review pricing recommendations against comparable evidence, market conditions and buyer feedback.
- Ensure advice on auction suitability, guide prices and reserves is realistic and supported.
- Monitor instruction quality, fee levels and conversion rates.
- Support complex valuations, client presentations and portfolio opportunities.
Stock and pipeline management
- Take ownership of property stock from instruction through marketing, auction and settlement.
- Review stock regularly and agree actions for properties attracting limited interest or remaining unsold.
- Ensure each property has a clear sale strategy, current records and an accountable team member.
- Coordinate marketing, administration and legal-pack preparation with colleagues and solicitors.
- Maintain accurate CRM records, property particulars and client reporting.
Auction delivery and sales progression
- Coordinate auction readiness, including seller instructions, reserve approvals and legal-pack availability.
- Oversee buyer enquiries, viewings, offers and auction-day sales activity.
- Drive post-auction negotiations and remarketing.
- Keep agreed sales progressing through regular contact with buyers, sellers and solicitors.
- Identify delays early and refer legal matters to the appropriate solicitor.
Commercial performance and business development
- Deliver agreed instruction, sales, conversion and fee-income targets.
- Produce reliable forecasts and report results, risks and actions to the Managing Director.
- Monitor stock age, withdrawals, fall-throughs and settlement pipelines.
- Manage fee discounts and expenditure within agreed authority limits.
- Work with accounts on invoicing and outstanding fees.
- Develop relationships with private sellers, corporate clients, solicitors, agents, investors and other introducers.
- Support pitches and proposals for corporate accounts and portfolio instructions.
Compliance and client service
- Ensure the team follows applicable legislation, industry guidance and company procedures.
- Oversee required AML checks and records for private individuals and corporate entities, including beneficial ownership and authority to act where relevant.
- Escalate concerns through the company’s designated compliance and AML reporting processes.
- Ensure personal information is handled in accordance with applicable data-protection requirements, ICO guidance and company policies.
- Maintain accurate, transparent marketing and client communications.
- Manage escalated client concerns in accordance with the company’s complaints procedure.
Essential experience and knowledge
- Proven experience directly managing valuers and sales negotiators within estate agency or property auctions.
- Experience handling both private seller instructions and corporate client accounts.
- A demonstrable record of achieving team sales and revenue targets.
- Strong knowledge of the Scottish property market, particularly Glasgow and the surrounding areas.
- A sound understanding of Scottish conveyancing, including legal packs, missives and settlement.
- Experience managing stock, pricing strategies, negotiations and sales progression.
- Confidence working to corporate service levels, reporting deadlines and approval requirements.
- Practical knowledge of AML and data protection in property sales.
- Strong leadership, commercial judgement, organisation and communication skills.
- Experience using CRM systems and producing accurate reports and forecasts.
Property auction and estate agency experience would be a significant advantage. Applicants must demonstrate successful team management alongside strong property sales experience.
