What will you be doing?

Stepping into a Subsea7 office, you are greeted with a positive and welcoming atmosphere. Our Receptionists bring enthusiasm and professionalism to their role, setting the scene for our visitors' experience.

We now have an opportunity for an organised and flexible part-time Receptionist to job-share within our Old Kilpatrick office, near Glasgow.

We can offer either morning or afternoon hours Monday to Thursday, with a requirement to work 8am to 3pm each Friday (21.5 or 25 hours across a five day week). Applicants should be flexible to work in a full-time capacity to cover periods of annual leave, etc.

  • Meet and greet visitors and staff, ensuring they have a professional and welcoming arrival. Deal with their requirements in an efficient and effective manner.
  • Ensure all visitors are logged and aware of emergency procedures through our safety and induction training.
  • Issue security badges to visitors and direct to host.
  • Manage and direct incoming calls, taking accurate messages, as required, and forwarding to relevant party.
  • Receive and direct mail and parcels in line with site procedures, organise outgoing mail including courier services.
  • Administer room bookings for meetings and training ensuring room set ups are booked and hospitality requirements are ordered
  • Assist with the processing of expenses and weekly timesheets, ensuring submission by required deadlines.
  • Create stationery orders.
  • Undertake other Reception administrative duties as required.

What experience would we like you to have?

  • Experience in a similar role, proficient in MS Word, Excel, PowerPoint and SharePoint.
  • A genuine interest in delivering excellent service and going above and beyond.
  • Effective interpersonal and communication skills, both verbal and written.
  • Builds and maintains positive collaborative relationships at all levels across a multicultural global environment.
  • Ability to work with detail and accuracy.
  • Effective planning and organising skills.
  • Successfully manages multiple coinciding arrivals in a calm and approachable manner.
  • Accustomed to working with confidential information.
  • Effectively prioritise workload to successfully meet deadlines.
  • Demonstrates initiative and ownership to deliver workload unsupervised while flexible to support wider team activities.
  • Flexible to adapt to changing priorities within a fast-paced 24/7 global business.
  • Committed to continuous improvement and pro-actively identifies improvements to work methods and processes.
