We are seeking an experienced Office & Facilities Supervisor to join the Workplace Services hub area in our Glasgow office.
Our Workplace Services hub area provides professional operational services across all workplace and facilities management including; property and asset management, building maintenance, environmental management, front of house services and corporate social responsibilities. Delivery of our services ensures considered design and management of a compliant, comfortable, and harmonious environment, to create an optimal workplace experience and promote employee wellbeing
The role of the Office & Facilities Supervisor (OFS) is responsible for the operational workplace activities within their designated office and has line management of the Front of House services team. The OFS is the first point of contact for all office and facilities management support enquiries and delivers effective solutions and actions to provide a safe and harmonious environment. This role collaborates with the Workplace Management Team and contributes to the development of the hub services
A snapshot of your day:
To manage the day-to-day property matters including use of office space, internal office moves, ensuring compliance with lease requirements regarding maintenance and upkeep, liaison with the Workplace Team Manager, landlords, co-tenants, and sub-tenants
To oversee the day-to-day property maintenance planning including the monitoring of health, safety and security processes and office space standards
Providing clear work instructions and supervision of contractors and suppliers delivering maintenance and services in the office
To ensure the delivery of the induction process at local office level
To act as a key player within the Business Continuity Plan; liaising with the Workplace Team Manager, whilst also ensuring the Plan is maintained, reviewed (within scope) and updated regularly.
To ensure all finance processes are adhered to relating to procurement activities
To provide project administration and management of property and workplace specifications, where capacity is available, working closely with Workplace Team Managers to agree project planning
To provide the Workplace Team Manager with monthly status reports of office and facilities operations, in their designated office
Hold regular 1:1 meetings with Front of House team reports and host PDRs with each direct report

We would love to hear from if you have:
Previous experience in a similar workplace and facilities management role; IWFM Level 3 Certification or demonstrated relevant experience
NEBOSH or ISOH Managing Safely qualification
Relevant professional body membership (e.g., IWFM, RICS, IEMA, IOSH) is desirable
Workplace and facilities management experience
Experience supervising a direct report, with a good understanding of people management skills
Previous experience in a professional services industry (preferred, not essential)
Environmental and Sustainability awareness and understanding in the workplace environment is desirable
Project Management experience and commercial awareness is desirable
