Client Liaison Administrator
Location: Glasgow
Salary: £34,000
This is a varied and rewarding role where you will play a key part in supporting Financial Advisers, managing client relationships, and ensuring the smooth processing of financial services business. The successful candidate will be highly organised, client-focused, and comfortable working within a fast-paced, regulated environment.
The Role
Working closely with Advisers and the wider support team, you will provide comprehensive administrative and client service support across the full financial planning process. You will act as a key point of contact for clients and providers, ensuring all client instructions and business transactions are processed accurately and efficiently.
Key Responsibilities
Adviser Support
- Provide dedicated administrative support to Financial Advisers
- Manage adviser diaries, appointments and annual review schedules
- Prepare client meeting packs and supporting documentation
- Monitor adviser opportunities and assist with business pipeline management
- Handle adviser-specific requests and administrative queries
- Support marketing and client communication initiatives, including mail merge exercises
Client Support
- Act as a key point of contact for clients
- Book client meetings and annual reviews
- Meet and greet clients visiting the office
- Handle client queries professionally and efficiently
- Keep clients informed throughout the processing of applications and transactions
New Business & Case Processing
- Assist in preparing cases for paraplanning and adviser review
- Obtain illustrations, projections and provider information
- Complete pre-submission compliance and AML checks
- Process new business applications across pensions, investments and protection products
- Process fund switches, withdrawals and other client instructions
- Monitor applications through to completion and provide updates to all relevant parties
Provider & Agency Administration
- Process Letters of Authority (LOAs) and Change of Agency requests
- Liaise with providers to obtain policy information and updates
- Manage client left agency and deceased client procedures
- Track applications and provider correspondence through to completion
Systems & Record Management
- Maintain accurate client records using XPLAN
- Update client information, fact finds and compliance documentation
- Ensure all client and plan activity is recorded using appropriate workflows and tasks
- Maintain accurate audit trails and document management processes
- Ensure records comply with company procedures and regulatory requirements
About You
The successful candidate will possess:
- Previous experience within Financial Services administration
- Strong understanding of financial planning processes and client servicing
- Experience using XPLAN or similar back-office systems would be advantageous
- Excellent organisational and time management skills
- Strong attention to detail and accuracy
- Professional communication skills, both written and verbal
- Ability to manage multiple tasks and priorities effectively
- A proactive and collaborative approach to work
- Strong client service skills and a professional manner
